Tomorrow's roster

Dan's 2pm roster. The office sets it, approves it, and every bloke gets a text telling him where he's going tomorrow. Replies come back here. Dan, Ben and Liam get the summary. If someone pulls out, one tap texts the qualified blokes on the bench and the first yes gets the shift.

Summary sent to Dan, Ben and Liam
Roster for Wed 30 Sep: crew across 12 sites. confirmed, Kev Doyle can't make it (J-2841), 2 no reply yet at Byron. Follow-up text goes at 4pm.
Kev's out for Maroochydore
He's a dogman on TC003. Only blokes with a current DG, VOC and first aid who are familiarised on TC003 get the text.
Waiting for the first yes…
Mason Flint took it at 2:46pm. Roster updated, the others got "filled, thanks". No 4am ring-around.

The day's docket

Two ways to capture it, and they can run side by side. Start every crew on option 1 on day one. Move a crew to option 2 whenever it suits. Either way the docket lands in the office the same afternoon, no paper, no Monday chase.

+30 min at double time added for doing the crew's dockets
Option 1: the crew leader fills it

It's the model your team agreed on in May. One person per crew, a paid half-hour for doing it, and nobody else has to touch a thing. The roster already knows who should be there, so it's mostly checking times. Zero risk on day one.

When it's sent
  • Checked against the roster and, for QTCH, the timesheet
  • Long shifts, wrong job codes and missing days get flagged
  • Clean dockets roll straight into the draft pay run
  • The same docket drafts the builder's invoice

Option 2: it fills itself

Each bloke taps a link in his roster text when he gets to site, and again at knock-off. The phone confirms he's actually there. The docket builds itself from the taps and the roster, so the crew leader only fills the gaps. There's no app to install, which is what sank the last ones.

Dockets and pay

Monday's six hours, done for you. Every docket is matched to the roster and, for QTCH jobs, the timesheet. of matched on their own. You only look at the flagged ones: click, pick a fix. Then the pay run goes into Xero as drafts. Nothing is paid until Jisha approves it in Xero.

Two pay runs, one per company. Super for this run is due in funds by Tue 6 Oct.
Clear the flagged dockets first.
✓ Two draft pay runs in Xero. Waiting on Jisha to approve.
Paper docket?
While crews switch over, the odd one will still come in on paper. Snap it and it gets read in.

Invoices

Next in line after month one
The same dockets, charged out. Whatever the docket says gets paid and gets on-charged. So once the dockets are clean, the builder invoices draft themselves in Xero: crane hire plus labour by role, ordinary and overtime. Anything missing a builder signature is held back. Rates here are samples. Yours come from your rate card.
Week to 25 Sep
Pick an invoice to see it.

Onboarding

No more six PDFs and re-typing. New starters fill in one form on their phone and snap their tickets. It checks the TFN and BSB, reads the dates off the ticket photos, and chases anything missing the same day. When it's all in, the Xero employee card is set up ready for Jisha to approve.
